How to Reply to Reviews for Auto Repair Shops (With Examples)
People pick a mechanic the way they pick a doctor: nervously, and mostly by reading reviews. Most of them don't know what a fair price for a brake job is, so they look for signs that a shop is honest. Your replies are one of the clearest signs they get. A calm, specific reply to a one-star review can win more customers than the five-star reviews around it.
What auto repair reviews are usually about
- Price and surprise charges. The final bill was higher than the quote, or a diagnostic fee wasn't expected.
- Upselling. The customer felt pushed into repairs they didn't think they needed.
- Wait times. The car sat for days, parts were late, or nobody called with updates.
- Comebacks. The same problem came back a week after the repair.
- Damage or mess. A scratch, grease on the seat, or a setting that changed.
- Praise for a tech or service writer. Someone explained the problem clearly or saved them money.
Three rules before you reply
- Don't argue about the diagnosis in public. You might be completely right about the worn control arm. A public back-and-forth about parts and labor still reads like a fight, and readers side with the customer.
- Keep their details private. Don't post their invoice total, their vehicle history, or what they declined last visit.
- Explain your process, not your excuse. "We call for approval before any work over the quote" is reassuring. "The customer approved it" is defensive.
A simple structure
- Thank them and name the issue in plain words.
- Say how your shop normally handles it, in one sentence.
- Give a named person and a direct way to follow up.
Examples you can adapt
Bill higher than the quote
Thanks for telling us, Mark. Nobody likes a bill that's higher than they expected. Our process is to call for approval before doing anything beyond the original estimate, and I want to understand where that broke down on your visit. Could you call me directly at the shop? Ask for Dana, the service manager.
Felt upsold
Hi Priya, thank you for the honest feedback. We never want anyone to feel pressured. When we recommend work, we try to separate what's urgent from what can wait, and it sounds like we didn't make that clear. If you'd like, bring the car by and I'll walk through the inspection with you, no charge and no obligation. — Luis, owner
Car took too long
Thanks, Jordan, and I'm sorry the wait was so long and that updates were hard to get. Parts delays happen, but you should have heard from us every day it sat here. We've changed how we send status updates because of feedback like yours. If you're willing, call me so I can make it right. — Dana
Problem came back
Hi Sam, I'm sorry the noise came back so soon. That's exactly the kind of thing we want to hear about. Please bring it in and ask for me. Our repairs come with a warranty, and we'll take another look first thing. — Luis
Only mention a warranty if you actually offer one, and don't promise a free repair in public before you've seen the car.
Positive review that names a tech
Thanks so much, Erin! We'll make sure Tony sees this. He's great at explaining what's going on under the hood, and we're glad he saved you a second trip. See you at your next oil change.
What not to say
- "We have the invoice signed by you." (True, but it turns the reply into a dispute.)
- "Other shops would have charged more." (Readers can't check that, and it sounds like a brush-off.)
- Anything about the customer's driving, maintenance habits or "what they really wanted."
- Offers of a discount or free service in exchange for changing or removing a review. Don't do it, and don't hint at it.
Ask for reviews the honest way
The best answer to a few bad reviews is more real ones. Ask every customer the same way, for example with a short text after pickup and a link to your Google profile. Don't ask only the happy ones, and don't offer anything in return.
Save time on replies
If you're under the hood all day, writing careful replies is the last thing you want to do at 9 PM. ReplyRight writes ready-to-post replies to your Google and Yelp reviews in your shop's voice, so you can review them, paste them in and get back to work.
