How to Reply to 3-Star Reviews (Mixed Reviews With Praise and Complaints)
A three-star review is a customer telling you, "Some of this was good and some of it wasn't." That makes it more useful than most five-stars and more fixable than most one-stars. It's also the review owners most often skip, because it doesn't feel urgent. Here's how to answer mixed reviews in a way that keeps the customer and reassures everyone reading.
Why three-star reviews deserve a reply
The reviewer is still on the fence. Someone who leaves three stars hasn't written you off. A thoughtful reply is often the thing that brings them back.
Readers trust mixed reviews. People scanning your profile tend to read the middle ratings closely, because they seem more balanced. Your reply sits right underneath, so it's read too.
There's usually a specific, fixable point. "Food was great, wait was long" tells you exactly what to work on. That's free feedback.
A simple structure: thank, acknowledge, address, invite
- Thank them, and name the good part. If they praised something specific, mention it. It shows you actually read the review.
- Acknowledge the problem plainly. Use their words where you can. Don't minimize it ("just a small delay") and don't over-apologize.
- Say what you're doing, only if it's true. If you've changed something, say so briefly. If you haven't, say you've shared it with the team. Never promise a change you won't make.
- Invite them back or offline. Give a real way to reach you: a phone number, an email, or a manager's name.
Keep it to three to five sentences. A long reply to a three-star review can read as defensive.
Examples you can adapt
Good product, slow service
"Thanks, Priya, and we're glad the brisket hit the spot. You're right that the wait on Saturday was too long. We've added a second person on the register for weekend lunch. Hope you'll give us another try, and if the wait is ever long again, ask for Dana, our manager."
Good work, poor communication
"Thank you for the kind words about the finished deck, Mark. We should have kept you updated when the materials were delayed, and that's on us. We now send a text update every time a schedule changes. If you have any questions about the job, call me directly at (555) 012-3456."
Fine overall, nothing special
"Thanks for stopping in and for the honest rating. We'd love to know what would have made it a five-star visit for you, so if you have a minute, reply here or email [email protected]. Either way, we hope to see you again."
Price complaint
"Thanks for the feedback, Alex, and we're happy the cleaning went smoothly. We understand the price felt high. It includes the full exam and X-rays, which we should explain better up front. If you'd like a breakdown of the visit, call our front desk and we'll walk you through it."
Replace the names, details and contact info with real ones. Only include a detail you know is true.
What to avoid in mixed-review replies
- Arguing with the low part. "Actually, our wait times are under ten minutes" makes you look defensive, even if it's usually true.
- Ignoring the complaint. A reply that only says "Thanks for the kind words!" tells readers you skipped the criticism.
- Asking them to change their rating. Don't ask for a higher rating or offer anything in exchange for one. Google prohibits incentivized or changed-for-reward reviews.
- Sharing private details. Don't mention appointment details, account information or anything the customer didn't post publicly.
- Copy-pasting. If every three-star gets the same paragraph, readers notice.
When a three-star review is really a one-star
Sometimes the text describes a serious problem, like a safety issue, a billing error or rude treatment, and the rating is only three stars. Treat those like a negative review: respond calmly and quickly, take it offline, and follow up. Our guide on responding to a negative Google review covers that in detail.
Spot the patterns
Three-star reviews are the best early warning you have. If several mention the same thing in a month (parking, wait times, phone calls not returned), that's a pattern worth fixing before it turns into one-star reviews. Keep a short list as you reply.
The bottom line
Reply to every three-star review you can. Thank them for the good part, own the bad part without excuses, say what's changing only if it's real, and give them an easy way back.
