Review Reply Templates for Restaurants, Dentists and Auto Shops

Every industry gets its own kind of review. A restaurant hears about the food and the wait. A dentist hears about pain, billing and bedside manner. An auto shop hears about price, honesty and whether the fix held. A reply that works for one can sound wrong for another, and a dental office in particular has privacy limits a pizza place doesn't.

Below are templates for all three, grouped by situation. Treat them as starting points. The best replies change at least one detail from the review itself, like a dish, a technician's name or the car, so they never read as copied and pasted.

Ground rules for every industry

Restaurants

Restaurant reviews are often about a specific dish, a server or the atmosphere. Name them.

5 stars, specific praise

"Thank you, [Name]! We'll pass your compliments on to [server]. She'll be thrilled. Glad the [dish] hit the spot, and we hope to see you back soon."

5 stars, no text

"Thanks for the five stars, [Name]! Next time, try the [seasonal item]. It's a staff favorite."

Mixed: food good, service slow

"Thanks for the honest review, [Name]. We're happy you enjoyed the [dish], and sorry about the wait. Friday nights got busier than we planned for, and we've added staff. Hope you'll give us another try."

Negative: order wrong or cold

"[Name], we're sorry your order arrived [cold / missing the side]. That's not the standard we hold ourselves to. Please call us at [phone] and ask for [manager] so we can make it right."

Negative: possible food safety concern

"Thank you for telling us, [Name]. We take this very seriously and would like to look into it right away. Please contact [manager] directly at [phone] or [email]."

Reply to food safety and allergen reviews the same day. They're the only ones worth stopping service for. Don't argue the details in public.

Dentists and medical offices

Here the most important rule is privacy. Don't confirm that the reviewer is a patient, and don't mention any treatment, appointment or billing details, even if the reviewer brought them up first. Health privacy laws such as HIPAA in the US apply to public replies too. Keep replies general and move everything else to a private conversation. (This isn't legal advice; if you're unsure, check with your compliance advisor.)

5 stars

"Thank you so much for the kind words! Our team works hard to make every visit comfortable, and it means a lot to hear that it shows."

5 stars, names a staff member

"Thank you! We'll make sure [first name] sees this. Our team loves hearing feedback like yours."

That works because the reviewer named the staff member, not you, and you're only passing on thanks.

Negative: wait time or front desk

"We're sorry to hear about this experience. We work to keep wait times short and we'd like to understand what happened. Please call our office manager, [name], at [phone]."

Negative: billing or insurance

"Thank you for raising this. We want every bill to be clear, and we'd be glad to go over any questions privately. Please contact [name] at [phone]."

Negative: pain or treatment outcome

"We're sorry to read this, and we take every concern seriously. Because of privacy rules we can't discuss specifics here, but we'd welcome a direct conversation. Please call [name] at [phone]."

Auto repair shops

Drivers worry about being overcharged, upsold or kept waiting. Good replies mention the job or the car, credit the technician, and are open about estimates and warranties without quoting invoice numbers.

5 stars

"Thanks, [Name]! Glad we could get the [car]'s [brakes / AC] sorted the same day. We'll let [tech] know you were happy."

5 stars, about honesty

"We appreciate this, [Name]. We'd always rather tell you a repair can wait than sell you one you don't need. See you at the next oil change."

Negative: price higher than expected

"Thanks for the feedback, [Name]. We give written estimates and call for approval before any extra work, and we're sorry that didn't come across clearly this time. Please call [service manager] at [phone] so we can go over it together."

Negative: problem came back

"[Name], we're sorry the issue came back. Our repairs carry a [12-month] warranty. Bring it back and we'll inspect it at no charge. Ask for [name] when you call [phone]."

Negative: took too long

"Sorry for the delay, [Name]. The part was backordered, and we should have kept you better informed. We've changed how we send updates on delayed jobs. Thanks for your patience."

Make the templates your own

Templates save time on the blank page, but customers can spot a form letter. Before you post:

  1. Change at least one detail from the review.
  2. Read it out loud. Does it sound like you talking to a regular?
  3. Remove anything that argues, blames or shares private details.

Let someone else write the first draft

If you have a backlog of unanswered reviews, or just don't want this on your to-do list, ReplyRight writes replies in your voice for Google and Yelp, and a person reviews every one. You approve them before anything goes live. Plans start at $39 for up to 15 reviews. See pricing.
